HR Assistant
Job Description
Pay: $20-$21
M – F, 7:00a – 4:00p
Bilingual Strongly Preferred
General Summary
The Human Resource Assistant will perform administrative tasks and services to support
effective and efficient operations of the organizations human resource department.
Education and Experience
* Previous HR experience with construction and/or Oil field knowledge is preferred.
* Has or is pursuing a Bachelor’s degree in Human Resources, Business or related field preferred.
* Experience with HRIS and timekeeping systems strongly preferred.
Essential Job Functions
1. Regular and reliable attendance.
2. Answer and direct phone calls.
3. Receive, sort, and distribute incoming mail and prepare outgoing mail.
4. Consistently monitor faxes and complete correspondence.
5. Assist walk-ins with online application kiosks and any forms needing completion.
6. Contact vendors for supplies and pickups, when necessary.
a. Maintain inventory of all office supplies (office, kitchen, restroom) and make
orders from respective vendors.
b. Order toner and ink for printers/copiers and call for services.
c. Contact shred company to empty paper bins.
7. Review and document employee attendance in HRIS system (Viewpoint).
8. Create or order business cards upon request.
9. Verify accuracy of all forms submitted.
10. Monitor personal info submissions in Employee Portal and approve/reject changes.
11. Review and update Standard Operating Procedures (SOP’s) relevant to position.
12. Responsible for completion and accuracy of all tasks.
13. Conducts audits as needed and/or directed.
14. Assist with onboarding process for new hires.
15. Maintains Human Resource Information System records with accuracy and timeliness
including data entry, scanning and attaching and naming documents correctly.
16. Establishes and maintains positive working relationships with management, employees,
external agencies and vendors.
17. Maintain the highest degree of confidentiality and professional discretion.
18. Multi-task, communicate progress in a timely manner and meet deadlines.
19. Ensure all companies and customer policies and procedures are being followed.
20. Other projects and duties as assigned by management.

* Ability to read and write in English
* Ability to comprehend and communicate instructions in English
* Ability to communicate with employees and various business partners in a professional and courteous manner
* Ability to present in a group setting
* Knowledge of technology (iPads, cellphones etc.)
* Proficient computer skills, Microsoft Office products
* Detail oriented
* Problem solving skills
* General knowledge of HR laws, practices and policies
* Ability to multitask and prioritize
* Must be able to work in a team environment
